The Indianapolis Art Center is looking for an organized and self-disciplined person to serve as the Office Manager.  This position oversees the day-to-day administrative and operational functions of the Indianapolis Art Center, including Information Technology, office systems, and office equipment.  This position also supports board operations, interacts with vendors and renters, and informs neighbors of the Art Center's major events.

Essential Job Functions

Manages all office systems and equipment (computers, phones, copiers, faxes, postage machine, etc.)
• Serves as main contact to IT Service Providers to ensure all networks, stations, and phone systems are integrated and operational
• Acts as primary liaison to phone vendor to set up users and manage access

Assists in Human Resource functions
• Develops Welcome/On-Boarding materials for new staff
• Sets up new staff with appropriate passwords, phone numbers, email address, mailbox, office instructions, copier codes, etc.

Provides administrative support to Board of Directors
• Assembles board packets (agendas, minutes, reports, calendars, rosters, etc.)

Manages Day-to-Day administrative office needs
• Maintains the Office Calendar
• Purchases, organizes, and maintains office supplies and postage meter supplies
• Supervises intern from Providence Cristo Rey High School one day a week

Acts as Liaison for Renters and Neighbors
• Manages leases for rentals at Cultural Complex and Crawford House
• Serves as information contact for neighbors especially related to major functions (BRAF, Summer Camps, Special Events, etc.)

Competency Requirements (Knowledge, Skills and Abilities):
• Excellent writing and verbal communication skills
• Strong computer skills and familiarity with office software (including Office and Windows)
• Ability to function well in a team environment
• Strong organizational and planning skills
• Proficiency in office equipment management (phones, IT station set up, alarms, copiers, etc.)
• Familiarity with basic office equipment

Education and experience:
• At least five (5) years' experience in office administration or related field required
• Experience in non-profit administration and management preferred
