The Administrative Assistant/Receptionist works under the direction of the Accounting Manager and is the first point of contact with all customers of Music for All. 

Music for All, Inc. is one of the nation's leading organizations in support of active music-making. Founded in 1975, Music for All's mission is to create, provide and expand positively life-changing experiences through music for all. Our vision is to be a catalyst to ensure that every child across America has access and opportunity to participate in active music-making in his or her scholastic environment.

Music for All's internationally acclaimed repertoire of programs includes more than 30 annual programs across the nation. Among these events are the Bands of America Grand National and Regional Marching Band Championships; Music for All National Festival for concert bands, orchestras, percussion ensembles, and – debuting in 2018 – choirs; Music for All Summer Symposium leadership workshops; and affiliate regional concert band festivals. Music for All also presents national honor ensembles for students: the Honor Band of America, Honor Orchestra of America, Jazz Band of America and the BOA Honor Band in the Tournament of Roses® Parade.

Primary duties include but are not limited to
• Greeting visitors to the office
• Answering the multi-line telephone and directing calls to the appropriate staff
• Opening, sorting and routing the daily mail and express packages
• Ensuring supplies are stocked for the office and kitchen areas
• Making assignments for lunch coverage
• Routing faxes to the appropriate staff person
• Management of messages received via email
• Constant knowledge of staff schedules i.e. vacations, travel, lunch, meetings
• Scheduling of conference rooms
• General upkeep of the break room
• Conducting data entry for applications received
• General administrative tasks and office support
• Other duties as assigned

• The work environment is that of a fast paced office with minimal to high noise levels
• The position requires working independently as well as part of a team
• This position requires verbal and face-to-face contact with others on a daily basis
• Frequent use of a computer is necessary
• This position requires the use of all general office equipment
• The position requires client information be maintained appropriately confidential

• Ability to lift up to 40 lbs, under 1/3 of the time
• Ability to stand under 1/3 of the time
• Ability to walk under 1/3 of the time
• Ability to sit over 2/3 of the time

Every candidate for a position at Music for All must understand and acknowledge that a substantial portion of the organization's business is the planning and execution of special events.  As such, all Bands of America employees are involved in the planning of events and have some on-site event production duties and responsibilities.  Some travel, night and weekend work is required. 

Music for All is seeking an enthusiastic team oriented individual with the below skills:

• High School Diploma, Associates Degree preferred
• One to three years experience working in Microsoft applications (Outlook, Excel, Word)
• Customer service oriented attitude
• Strong work ethic and a willingness to embrace our organization at all levels
• Solid analytical and communication skills; strategic thinker;
• Demonstrated leadership, interpersonal and organizational skills
