At Indy Reads our vision is to make Central Indiana 100% literate.  With 1 in 5 Hoosiers reading at or below a sixth-grade ability, our mission to promote and improve the literacy of adults and families in Central Indiana is needed now more than ever!   We take a community literacy approach to teaching adult students. Through an innovative social learning model, instructors are supported by a team of volunteer tutors in each dynamic classroom setting offered at partner locations throughout the Indianapolis area. 
The Administrative Specialist supports administrative functions across the entire organization. You will be the first contact that many of our students and volunteers have with Indy Reads, so a high level of customer service is required.  The ability to work independently as well as part of a team is essential. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Support staff in communication with all constituents through phone, email, and direct correspondence
     1. Answer phones and direct calls to appropriate staff
     2. Greet students, tutors, and other guests
     3. Making copies, assembling mailings and other administrative projects
     4. Manage calendars for shared office spaces and 
     5. Schedule and send invites for committee meetings
2. Support development team in communication with donors via acknowledgement letters; record donor information into database. 
3. Provide administrative support across organization 
4. Assist with data management, including but not limited to, maintenance of data integrity, data entry into organizational database/information systems, and organization of files
5. Assist in the management of office correspondence, including faxes, mail, FedEx, and UPS deliveries; 
6. Maintain office supplies and order as needed
7. General housekeeping duties, including stocking refreshments and maintaining an orderly reception area
8. Create and promote a positive work environment through teamwork mentality and creative problem-solving
9. Other duties as assigned
 
REQUIRED QUALIFICATIONS
1. Excellent writing/editing and verbal communication skills
2. Honesty; ability to manage confidential information
3. Demonstrated time management and efficiency skills; proven dependability 
4. Strong project management skills including ability to prioritize multiple tasks
5. Empathy and cultural competence
6. Self-motivated and willing to work independently; entrepreneurial self-starter who enjoys creating and implementing new initiatives
7. Familiarity with Google G suite
8. Excellent knowledge of social media communication techniques
9. Ability to grasp new concepts and learn new programs quickly
10.Commitment to the mission of Indy Reads
11.AA/BA/BS in relevant field preferred
12.Must be available to work flexible hours, including occasional evenings and weekends
13.Must possess excellent interpersonal skills and the ability to work harmoniously as part of a team within a culturally diverse environment
