The Business Center Associate is the member of our Operations Team responsible for the overall functions, activities and logistics of this fast-paced Business Center, which is a crucial piece of our business operations. This leads to an overall positive team experience through team service support and other activities and strategies. The position reports to the Operations Manager.

Position Duties & Responsibilities
The following statements are intended to describe the general nature and level of work being performed.  They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified. 

• Provide excellent customer service for internal and external visitors in the Business Center including prompt response
• Fulfill collateral material requests and promo item requests; maintain up-to-date inventories
• Fulfill office supplies orders from team members; maintain office supply inventory; provide quarterly report to Business Center Manager; analyze usage of items
• Distribute organizational mail and deliveries; check outgoing mail daily; provide monthly batch of mail slips to Finance
• Scan Finance paperwork (accounts payable records, pledge envelopes and forms, etc.) for electronic storage in Document Mall on routine schedule
• Report to Operations Manager
• Prepare UPS shipments; Arrange courier services, as needed
• Maintain paper supplies at copier centers; Maintain office supplies inventory and re-order as necessary; Maintain promotional items inventory, charge to depts. and notify Operations Manager when re-order is needed
• Provide backup support for Operations Manager
• Provide assistance to Ricoh for large print jobs and backup on machines
• Provide support for AV needs including checking devices after power outages; Sensory Technologies has a maintenance agreement but many issues can be resolved quickly internally
• Provide relief for receptionist at front desk during lunch breaks; Greet & direct UWCI visitors, as needed
• Assist with second floor conference room setup when needed
• Routinely check conference rooms for supply needs: markers, erasers, white board cleaner and clean boards if needed
• Assist with CRM database data imports, extractions, data cleanup and de-duplication
• Provide support for IT like monitoring Verizon bills for excessive data usage, retrieve monthly invoices on credit card for finance (Microsoft license fees, Azure, Go Daddy domains,
create Intacct payment requests for processing.
• Position duties roughly divide 80% (30 hrs weekly) Business Center duties, 8% (3 hrs weekly) Scanning/Finance related duties, 12% (4.5 hrs weekly) IT/CRM services and support
• Interface with financial system (Intacct) to manage Accounts Payable.
• Performs special assignments and other work on an as-needed basis.

Qualifications

Education and/or Experience
Bachelor's Degree in Business Administration, Industrial Engineering or equivalent plus 2+ years purchasing management experience required with strong knowledge of resource/supply management. Work experience may substitute for education requirements on a case by case basis. Proficiency with various computer data bases required with a strong attention to details. Prior knowledge of CRM software is a plus. Must be collaborative across various service lines with the ability to communicate effectively and think strategically.
