The Indianapolis Art Center is looking for an organized and self-disciplined person to perform and accurately execute the day-to-day functions related to Payables, Receivables and Payroll for the Indianapolis Art Center, including recording activity and maintaining accurate records.  This position is responsible for supporting the daily operational HR activities of filing, onboarding staff and processing benefit enrollments.

Essential Job Functions:

Payables & Deposits
• Prepare and process cash receipts for deposit. Coordinate proper recording of deposits with Development, Events, Education and Guest Services.
• Assist Staff Accountant with entering front desk activity.
• Record employee credit card activity.
• Prepare customer invoices as needed. 
• Issue checks and distribute weekly. 
• Maintain customer, vendor and contract files.

Payroll & Onboarding
• Prepare and process the bi-weekly payroll in ADP.  Assist with reconciling all Time and Attendance functions within ADP for each payroll.  Work in tandem with the Staff Accountant and the Director of Finance to record all pay rates and pay adjustments in ADP.
• Handle on-boarding new staff, including generating background checks, completing E-Verify process, and compiling basic payroll documents.
• Assist the Staff Accountant in reviewing benefits packets with eligible Full Time and Part-time staff, collecting and checking enrollment forms and registering/enrolling staff with appropriate providers.
• Assist the Staff Accountant and the Director of Finance in responding to employee benefit inquiries.
• Track benefit accruals.
• Maintain personnel files.

Annual Duties and Reporting Responsibilities
• Assist the Staff Accountant and the Director of Finance with preparing for the Art Center's annual audit.

Additional Job Functions:
• Attend meetings and conduct correspondence, as needed, to properly maintain the Art Center's accounting records.
• Assist with other projects and programs as directed.

Competency Requirements (Knowledge, Skills and Abilities):
• At least 3 years' experience in related tasks required.
• Excellent written and verbal communication skills.
• Strong knowledge and use of Excel and Word preferred.
• Familiarity with accounting software required.  Familiarity with SAGE/MIP, or other nonprofit accounting software a plus.
• Familiarity with ActiveNet or other POS systems a plus.
• Familiarity with ADP payroll software preferred.
• Ability to maintain confidentiality.
• Ability to interact professionally with staff, vendors, students, Board members, etc.

Education and Experience:
• High School degree required.
• Associates degree or higher in accounting or finance preferred.
