Job Description:

The Executive Assistant to the Bishop provides direct administrative and personal support to the Bishop Diocesan.   

Duties and Responsibilities include the following:

Bishops' Office:

• Develop and coordinate parish visitation schedule.

• Coordinate regional confirmation schedule.

• Oversee the documentation of confirmations and receptions.

  • Serve as liaison to the Executive Council, Standing Committee, and other committees as assigned.

• Serve as the Registrar of Ordinations for the Episcopal Diocese of Indianapolis, including documentation of change in canonical residence, deaths (death notices for clergy and direct family members) and any other documentation or reporting necessary.

• Coordinate communications related to business with the House of Bishops of The Episcopal Church.

• Assist with the financial matters related to the Bishop's office.

• Oversee Bishop's Discretionary Fund and disbursements.

• Take minutes for weekly all-staff meetings.

• Assist bishop in her participation in the Commission on Ministry.

• â€‹Oversee and direct additional responsibilities of the Bishops' Office as appropriate. 

Personal Assistance to Bishop Diocesan:

• Answer telephone and track messages.  Answer email and track inquiries and requests for meetings with bishop. 

• Respond to inquiries and requests for meetings with the bishop including scheduling.

• Work with parish clergy to prepare for Bishop's Sunday visits to parishes, coordinate mailings and prepare files for visitation.

• Keep info folders for bishop's meetings and conferences.

• Oversee office organization including filing, correspondence, arranging travel and processing reimbursements, and planning/assisting with meeting and special event as needed.

Qualifications:   

• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

• Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clergy and lay leaders, external partners and donors. 

• Expert level written and verbal communication skills.

• Demonstrated proactive approaches to problem-solving with strong decision-making capability.

• Emotional maturity.

• Highly resourceful team-player, with the ability also to be extremely effective independently 

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response 

• Forward looking thinker, who actively seeks opportunities and proposes solutions 

• Bachelor's degree required 

• Strong work tenure: five to 10 years of experience supporting executives, preferably in a non-profit organization

• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
