The Orchard School is in search for an Office Services Coordinator to work 30 hours per week.

Essential Duties and Responsibilities:
• Performs the accounts payable function in the Business Office, including but not necessarily limited to general accounts payable coding and processing, reviewing invoices, purchase orders and expense reporting, research billing discrepancies and initiate action based on findings, ensure established financial controls are adhered to in the performance of specific procedures, and documentation retained. Monitoring credit card purchases and related internal controls, keeping orderly accounts payable files and processing weekly check runs.
• Assist faculty and staff with professional development trainings requesting purchase orders and using school credit cards
• Performs the bi-weekly payroll function.
• Record transactions and reconcile accounts.
• As required by the school's Financial Policies, assist Chief Financial Officer with competitive bidding and purchasing of those goods and services directly affected by the policies.
• Provide Chief Financial Officer with administrative support included but not limited to all administrative duties, copying, filing, scanning, etc. Managing calendar, scheduling meetings, obtaining signature on documents filing system, arranging video conferencingj conference calls prior to meetings, prepare monthly Finance Committee packets and presentations. Communicated professionally and effectively with other directors and support staff to ensure meetings are scheduled promptly and appropriately, oversee special projects as needed
• Backs up Chief Accountant in various general ledger duties and accounts receivable.
• Prepares files for student billing collections. Updates notes receivable and collection lists.
• Maintains cash receipts, credit cards, and limited bank reconciliations.
• Maintains petty cash drawers in an orderly fashion and ensures they are balanced.
• Provides accounting and banking services to the Parents Association.
• Assists the Chief Accountant in year-end closing audit duties and yearly billing.
• Provide routine office services
• Support Facility Manager

Qualifications and Attributes
• Working knowledge of EXCEL required
• Working knowledge of Blackbaud software or another automated nonprofit accounting software strongly preferred
• Must protect confidential information and establish credibility
• Excellent interpersonal skills with an ability to get along with diverse personalities, must exhibit tact, and be able to be flexible
• Judgment that is consistent with standards, practices, procedures, regulation or governmental law while recognizing and supporting the organization's preferences and priorities
• . Ability to define problems, collect data, establish facts, draw valid conclusions, and make recommendations to management
• Ability to read, analyze and interpret legal and other technical documents
• Ability to write effective and grammatically correct letters, reports, spreadsheets, and other business correspondence and to present information to applicable constituencies
