We are seeking an Administrative Assistant for internal support to the 500 Festival team as well as external support to customers, volunteers, guests and vendors. The administrative assistant will work under the supervision of the Vice President of Finance and HR to support team members in areas of marketing, operations, and sponsorship, as well as general administration.

The 500 Festival, an Indianapolis based non-profit corporation, produces nearly 50 annual events and programs reaching over 500,000 people and creating a $20 million positive financial impact on the city of Indianapolis.  The mission of the 500 Festival is to produce life-enriching events and programs while celebrating the spirit and legacy of the Indianapolis 500® and fostering positive impact on the city of Indianapolis and state of Indiana.

•  General administrative support including but not limited to answering main phone line, acceptance & delivery of packages, maintaining office supplies and equipment, scheduling and maintaining of general office areas and general administrative support
•  Ticketing and registration assistance such as assisting with fulfillment of tickets and registration management as well as database assistance and general customer service support
•  Marketing assistance such as calendar communication and assistance, coordination and staffing of field marketing events, fulfillment of contests, credentials, social media assistance, etc.
•  Operations assistance such as vendor communication and support, management of incoming certificates of insurance and overall operational support related to events.
•  Sponsorship assistance includes assistance with sponsor recaps, fulfillment of tickets and sponsor gifts, industry research and partner onboarding
•  Other duties as assigned

•        Proficient in Microsoft Office Suite
•        Excellent interpersonal and communication skills
•        Well-organized, detail-oriented, ability  to multi-task, and prioritize
•        A desire to assist others and provide excellent customer service
•        Demonstrate exemplary attitude and willingness to be flexible
