The BCAS Program Coordinator supports and manages the daily operations and activities of the Butler Community Arts School (BCAS), reporting to the BCAS Director. Daily operations include year-round enrollment, marketing and communications, and summer camps. The position is the "front line" of BCAS and engages directly with Butler students/staff/faculty, parents and children, community partner organizations, and other arts organizations.
 
Responsibilities:

Responsibilities fall into three broad categories:

Enrollment Management (40%)
• Responsible for all aspects of private lessons, group class, and summer camp enrollment (including but not limited to: creating registration forms, preparing class rosters, maintaining emergency contact sheets, processing payments)
• Keep detailed records of all enrollment activities, including student drops/adds, scholarship assistance and payment plans, etc.
• Manage the registration process for all BCAS programs, including data entry, fee collection, invoicing, bookkeeping, and related financial duties.
• Maintain databases for private lessons, group classes, and summer camps.
• Ensure all payments are recorded accurately to the database and respond to balance inquiries.
• Process scholarship applications.
• Create and manage calendars for all BCAS operations.
• Assist BCAS Director with grant submissions, including compilation of enrollment data and demographics.
• Provide general administrative support to BCAS director.

Summer Camp Operations (40%)
• Lead and manage summer support staff (student employees) in a variety of tasks related to summer camp enrollment, camp preparation, and supervision of daily camp operations and activities.
• Maintain inventory of summer camp supplies and order supplies as needed. Coordinate food service for 600+ campers.

Marketing and Communications (20%)
• Maintain and update website, BCAS email account, and social media postings.
• Act as liaison between students and instructors, especially when facilitating new student intakes.
• "Front line" person for incoming phone and email inquiries.
