Fortune Academy is a small private school in Indianapolis for 1st to 12th graders who have dyslexia and other language processing differences.  The Data Coordinator/ Administrative Assistant works behind the scenes to collect and organization information for student records, assists with the information for admissions, and makes materials to support the work of the Heads of School.

Organization overview:
On the Loop in the historic Fort Benjamin Harrison area of Indianapolis near 56th and Post Road is a repurposed brick building – an inviting space where 100 young people, grades 1-12, with learning differences come every day to learn skills that will enable them to succeed in their work and personal lives as productive citizens. 

Due to its regional reputation for success with students with dyslexia, dysgraphia and language learning differences, many educators look to Fortune Academy ( as a model.  Currently, Fortune Academy is the only school in Indiana to provide a certification program in the Orton-Gillingham (O-G) approach to language learning.  The Fortune Academy vision is to serve a growing number of students and the broader community side-by-side:
1. providing support services to students with learning differences and to their families.
2. providing continuing education in learning differences for education professionals.
3. partnering with organizations with similar missions to expand and deepen the ability to serve.


Work Calendar: 11 months (mid July to mid June) w/all school vacations;
Hours: generally 9:00 to 4:00

Major Functions – Data Coordination:
• Enters, compiles, and manipulates data in a wide variety of databases.
• Tracks student attendance and enrollment data and other ongoing school statistics.
• Maintains a filing and retrieval system for a variety of documents and records (hard copies and digital).
• Prepares a wide variety of reports and written materials: memos, letters, flyers, handbooks; discipline, truancy and suspension reports; fire drill reports, school tour packets, etc.
• Assists accounting with preserving and organizing purchase orders. 

Major Functions – Administrative Assistant
• Supports Head of School, Upper and Lower Division Heads, and Development Director with activities such as: scheduling tours and events; maintaining teacher records, student records, forms; processing and tracking admissions procedures and forms, maintaining and distributing Board minutes, school keycard distributions, etc. 
• Attends some meetings to document and make updates to procedures, forms and charts.
• Handles logistics and RSVPs for meetings such as Board Meetings, parent conferences, ISP meetings, on and off site adult ed. programs, and other events as necessary. 
• Triages requests for information by phone, person, letter, and email.  Facilitates communication among parties by referring inquirers to the appropriate responder.

• Establish and maintain effective working relationships in a school environment: with children, teens, teachers, parents – all from diverse backgrounds.
• Consistently maintain confidentiality and a professional demeanor.
• Plan for and to meet deadlines, and coordinate project contributors to do so.
• Stay focused and on task in a busy, high energy environment.

Language and Communication: 
• Strong oral communication skills with the public and telephone etiquette in fluent English.
• Strong written communication, including syntax, grammar and punctuation; email and letter etiquette.
• Willing to learn the professional vocabulary of education and learning differences.
• Proactive interpersonal skills with co-workers, including teachers.
• Openness to working with others who may process information and take directions differently.

Computer Skills – the ability to 
• Use intermediate level in word processing with Microsoft Word, Excel, Power Point, and computer graphics packages. 
• Use databases and create custom sorts and reports.
• Use e-tools to initiate the flow of information to and from groups of individuals and to schedule group events
• Read technical manuals to solve basic problems

Reasoning – the ability to
• Prioritize workload in order to meet deadlines and to seek help when needed. 
• Identify barriers to success; then move forward on problem-solving.
• Assess which issues should be handled directly vs. which should be referred to an appropriate decision-maker. 
• Do basic math to monitor data entry accuracy and for day to day needs, including fractions and per cents

• Valid driver's license

Work Environment:
• 98% in school in an office that is behind the scenes (not reception).
• Some short external errands may be required. Use your car for local travel with mileage reimbursement.
• Must be able to perform general physical demands associated with position including but not limited to: some lifting, carrying, pushing, pulling, kneeling, sitting, standing, and walking.

• An Associate's Degree preferred; other skills certifications acceptable.
• 2 to 3 years hands on responsibility for data entry, organization, and retrieval.
• Experience providing assistance to two or more professionals or department leaders in a not-for-profit or a business.
• Experience as a staff member or volunteer in a school or library or similar service environment that serves children and families is a plus. 
• Experience working with a fundraising database a plus.
