A member of the Wabash College Advancement Office, the Special Events Coordinator is responsible for planning and executing high-quality on- and off-campus events, as well as virtual events, related to and supporting the College's comprehensive campaigns. The coordinator will work with Advancement staff, the President's Office, campaign leadership, and volunteers to help enhance the College's culture of philanthropy. 

The position requires a high-energy individual who will collaborate with the College Advancement team and partners from across campus. Experience managing large and small events is required, and extensive work with volunteers is preferred. The Special Events Coordinator should be familiar with higher education fundraising standards and best practices.

Primary Duties and Responsibilities

1. Plan, execute, and evaluate, high-quality events for the College's comprehensive fundraising campaigns in all phases, including College events that support the goals of the campaign:

 a. Develop standards of excellence to apply to all campaign-related events and activities, both on- and off-campus.
 b. Guide and work collaboratively with the all-campus team that plans and executes events at the College, including representatives from Athletics, the Business Office, Sodexo, Bon Appetit, President's Office, Communications, and Advancement, among others.
 c. Identify and build relationships with off-campus vendors for campaign-related events.
 d. Coordinate invitations, RSVPs, event payment, and event tracking details with Advancement staff and the President's Office.
 e. Sample events include, but are not limited to:
  i. Campaign on-campus kick-off events and regional rollout events.
  ii. Regional engagement events, large and small, that highlight and illustrate the goals of the campaign, including virtual events.
  iii. Intimate on- and off-campus cultivation and stewardship events.
  iv. Campaign conclusion and celebration events.

2. Support the President's Office with events associated with Board of Trustees weekends, the President's Distinguished Speakers' Series, and other high-profile events on- and off-campus.

3. Working with the Campaign Operations Coordinator, support volunteers that staff events central to the success of the College's comprehensive campaigns.

4. Attend campaign, prospect management, and Advancement staff meetings as required and actively participate in those meetings.

5. Work closely with Alumni & Parent Relations, the Annual Fund, Major Gifts, Advancement Services, and Planned Giving, to create an effective College Advancement team, including attending meetings and events that support exceptional partnerships.

6. Fulfill other appropriate duties as assigned.

Evaluation

Evaluation of Advancement staff is an ongoing process. Interim goals and objectives will be set and monitored on a regular basis. Formal evaluation will occur in May of each year.

Qualifications

1. Bachelor's degree required.
2. Two-three years of previous event planning and project management experience; preferably in higher education.
3. Exceptional attention to detail.
4. Willingness to travel nationally for campaign events.
5. Passion for higher education and a dedication to promoting the College's mission and strategic fundraising priorities.
6. Ability to manage projects and coordinate multiple tasks.
7. Excellent interpersonal skills.
8. Excellent writing and persuasive communication skills.
9. Self-starter with demonstrated initiative.
10. Valid driver's license is required.
