Lupus Foundation of America, Indiana Chapter is looking for an Office Manager. The ideal candidate will be solution-oriented and adaptable. The Office Manager needs top office skills and must be able to work at a fast pace and juggle multiple tasks. Excellent written and oral communication skills, being detail-oriented and the ability to show initiative and operate independently are required. Daily tasks will include managing donor database, ordering office supplies, event planning and answering patient and vendor inquiries. The Office Manager needs to have a mentality of no task is too small and to be very calm under pressure. The candidate must have a very upbeat and warm personality to interact with volunteers and lupus patients.

The Office Manager reports to the CEO and is responsible for a range of essential office support functions for a state-wide non-profit located in Indianapolis. This is a full-time, salaried position; while the normal hours will be 9am-5pm, extra hours may be required to attend the organization's events and complete assignments.

Responsibilities:

Office Management
- Maintain office equipment, including computer network, copier and fax machine; serve as point of contact with these vendors
- Maintain Donor database in Luminate Online (owned by Blackbaud)
- Order office supplies and maintain inventory of supplies
- Assist in preparation for monthly board meetings including preparation of packets and board follow-up
- Assist with photocopying, mailing, word processing and data entry
- Make deliveries, run errands and conduct other administrative tasks as needed (mileage will be reimbursed)
- Order food for meetings
-  - Maintain all centralized files in Google drive and hard copies as needed
- Oversee interns and office volunteers

Bookkeeping Support
- Make bank deposits
- Maintain donor database, which includes running post-event reports

Executive Assistant
- Prepare presentations
- Prepare communication packet for events and external meetings
-Schedule meetings and maintain RSVP lists
-Prepare content for monthly eNewsletter

Qualifications

Education:
High school diploma; some college preferred, required minimum of 3 years administrative experience, donor database management skills and intermediate level or above with MS Office. Prefer experience with non-profit fundraising events and customer service.

Skills:
Ability to organize work and handle details. Ability to work with a diverse staff, board of directors, and volunteer pool and to multi-task and manage projects.

The ideal candidate for this position will have the following characteristics:
- Excellent organizational skills and high attention to detail
- Strong written and oral communication skills
- Strong customer service skills
- At least three years' experience working in an administrative position - High school diploma; some college preferred
- Comfortable using donor software; minimal training will be provided
- Proficient in using Microsoft Office (Outlook, Word, Excel, PowerPoint and Publisher) and conducting research on the internet
- Proactive and willingness to take responsibility and manage projects
