Under the direction of the Human Resources Director, provides necessary project management and support for the Human Resources, Finance and Executive Departments by performing a variety of administrative tasks.

Human Resources Responsibilities:
• Maintain and manage confidential records: filing, preparing time-sensitive mailings for staff and former staff related to benefits information for Human Resources and Finance Departments
• Establish, develop, and maintain updates to Human Resources records; retrieve requested information from files
• Maintains recruitment files, tracking stages of the selection process, prepares necessary correspondence to candidates during that process; prepares personnel files
• Assures that timesheets are submitted, manage accruals and notify Director of Human Resources of any overages
• Manage the HR side of payroll- entering new information and editing existing information into Vibe HCM (formerly ECI) on a bi-monthly basis
• Review and calculate monthly billings for Assurant, OxfordUnited and VSP
• Verify current and former National employment
• Manage calendar and appointments for Director of Human Resources
• Assist with onboarding appointments for the CEO, LAN Administrator and Director of Human Resources
• Facilitate Vibe HCM (formerly ECI Empower) and Google Drive onboarding for new employees
• Coordinate new hire paperwork, benefit and insurance information and send to new employees
• Update and monitor holidays in Salesforce monthly

Finance Responsibilities:
• Sort, organize and mail checks on a weekly basis. File necessary information for businesses and affiliates
• Review payroll with Staff Accountant before final submission
• Provide project management and support to Finance department as needed

Executive Responsibilities:
• Project management and support for COO, Pat Driscoll
• Coordinate, schedule and manage monthly Management Team meetings
• Coordinate, schedule and manage monthly Affiliate Services Leader Meetings
• Complete and submit the COO's American Express report monthly

General Administrative Responsibilities:
• Types, edits, and proofreads documents
• Assists with quality control within the departments
• Serves as the primary point of contact with the general public, filing requests for information about Girls Inc., its programs and affiliation procedures. Answers all emails sent to the general mailbox at Answers all messages left in the general voicemail box at the NRC
• Serves as receptionist for the NRC, greeting visitors, answering calls and directing visitors or callers to the appropriate persons.
• Manages, coordinates and monitors all deliveries in and out of the NRC
• Lead the Happiness Committee to boost employee engagement and morale

• High school diploma with three years of experience in a professional office environment
• Must be discreet, detail-oriented, thorough with good organizational and time management skills
• Must be proficient Word, Excel, Power Point and Google
• Must be able to work independently yet adaptable, flexible and a team player
• Strong verbal and written communication skills
• Must be experienced in working with diverse populations
• Must have an interest in girl-focused youth development
• Must be available to work 35 hours per week during normal business hours of 9 a.m. to 5 p.m., Monday through Friday
• Must be able to appreciate, embrace and advance diversity and have experience working with multicultural populations. 

Work Environment:

The job operates in a professional office environment.  The role routinely uses standard office equipment such as computers, phones, and copiers.

Physical Demands:

This is a largely sedentary role; some lifting and pushing of 10-25 lbs. is required.  Also, some bending, standing, and squatting is necessary for certain tasks.
