This position performs a wide variety of administrative duties, mainly supporting the organization's Executive Director, as well as providing support for special projects for other departments within Kappa Delta Pi Headquarters. The Senior Staff Assistant position requires proficiency in a full range of administrative and technical skills. The work of this position is performed with considerable independence, requiring the ability to plan, prioritize and organize diverse duties.  As the first point of contact with the organization for many members, the Senior Staff Assistant must be able reflect the values and cultures of KDP.

Kappa Delta Pi Society (KDP) is a professional membership association and International Honor Society with more than 667 chapters and 40,000 active members. KDP provides programs, services, and resources to its members, which include undergraduate and graduate students, practicing teachers, administrators, university faculty, and retirees. The Senior Staff Assistant reports to the Event and Executive Coordinator.

Specific Responsibilities:

Executive Director Support
• Handles administrative tasks for Executive Director, including travel coordination, online research and spreadsheet creation.
• Oversees biennial production of Society Handbook.
• Makes travel arrangements and material preparation for Executive Council meetings.
• Assists with Executive Council projects.
• Supports executive database needs, including maintaining Executive Officer and Committee master lists and pulling reports.
• Serves on the employee appreciation committee.

Office Coordination
• Serves as the organization's receptionist and staff lead in the knowledge and usage of the phone system.
• Receives and distributes mail; records incoming payments and prepares paperwork for business department.
• Manages the membership mailbox, including responding or routing to the appropriate departments.
• Manages bulk mailings by various departments: monthly advancement contribution letters, and the counselor commendation letters to be sent via postal service during April/May.
• Updates and verifies information in membership database. Pulls information and runs reports as requested by staff. Updates bounce-back emails from outgoing membership messages.
• Assists with updating and managing information in the database for use by other departments.
• Accurately log initiation information received via mail to support Chapter Services & Administration efforts including, but not limited to chapter initiations information received with check details.
• Assists with scheduling and organizing of activities related to meetings both within the office and offsite, travel and department activities.
• Assists with hosting guests and visitors to Headquarters and room rentals
• Executes bulk mailings and mailings of membership and information packets
• Performs assigned Convocation tasks including but not limited to:
 o Management of administrative preparation of onsite registration.
 o Manage invitations and responses to receptions & events as needed.
 o Assist with organization & packing of materials and supplies for Convo
• Oversees the appearance and organization of the general areas of Headquarters.

The ideal candidate will have:
• Ability to respond to and handle member, leader, and business inquiries and requests with poise, tact and diplomacy at all times.
• Excellent computer skills with expertise in Microsoft Office software suite and familiarity with     database.
• Extremely detail oriented, precise, organized and able to work independently and
   manage /prioritize multiple projects simultaneously.
• Strong writing and communication skills.
• Experience with a non-profit organization is desirable. 
• Excellent customer service skills and a positive, winning attitude, energetic, driven and goal oriented. 
• Demonstrated ability to work effectively with people of diverse backgrounds and promote a 
  positive working environment, spirit of cooperation and positive reactions to change.

Bachelor's Degree with 5 years or more of related experience.
