The Membership and Annual Giving Coordinator plays a vital role in the execution and evaluation of the multi-faceted membership and annual giving activities at Newfields.
 
This position assists the Director of Member and Donor Experiences in overseeing the operation of an ambitious program to increase membership acquisition and retention; build enduring relationships with our members; and ultimately inspire them to make additional contributions through the Newfields Fund and other annual giving opportunities. 
 
Offering exciting opportunities for the successful candidate to make a significant impact on the future of the IMA's membership and annual giving programs, the Membership and Annual Giving Coordinator will implement best practices in data driven fundraising to strategically grow the IMA's direct response programs for membership, affiliate groups, donor circles, and the Newfields Fund. This position is responsible for creating and refining multi-channel renewal, acquisition, and upgrade appeals to our growing member and donor base; developing meaningful communication about how contributions provide a positive benefit to our community; ensuring accurate recognition for all annual giving donors; identifying prospective donors to build the major gifts pipeline; and monitoring effectiveness of activities at each stage of the donor cycle.
 
Primary Responsibilities: The following responsibilities describe the general nature of work for employees in this position, but this is not intended as an exclusive or all - inclusive inventory.
 
•  Develops innovative and creative acquisition and retention strategies for membership, affiliate groups, donor circle,  special projects, and other annual giving programs 
•  Produces solicitation materials and handles logistics for direct mail, telemarketing and online acquisition, renewal, and upgrade campaigns for membership, affiliate groups, donor circles, etc.
•  Develops and maintains list of special project fundraising opportunities, generates related solicitation materials, and ensures accurate donor recognition
•  Implements meaningful and memorable stewardship communication for the membership, donor circle, special projects, and other annual giving programs
•  Creates and executes a member communication calendar for all aforementioned materials and additional communication as needed by the department and determined by the Director of Member and Donor Experiences. Works with Director of Member and Donor Experiences and Philanthropy Officers to develop creative strategies for upgrading members to donor circles and identify prospects for the major gifts and campaign programs
•  Supports basic member benefit and appreciation events, and other stewardship activities as needed
•  Works to streamline Membership systems and logistics in a growing and changing program develops and implements new strategies to improve the member experience
•  Assists with database maintenance, including maintaining and troubleshooting the link between Raisers Edge and VBO databases 
•  Assists with gift entry, RSVP tracking, benefit fulfillment, donor and member correspondence, and acknowledgment communications, as necessary
•  Works closely with Finance to ensure accurate recording of revenue and expenses
•  Tracks, measures, and ensures effectiveness of membership and annual giving activities at each stage of the member/donor cycle
•  Proactively monitors and reports on industry trends and best practices for data driven fundraising programs, direct response activities, and donor communications activities in museums and gardens
 
Required Skills:
•  Must be able to communicate diplomatically and enthusiastically with a diverse group of staff, members, and donors.  Ability to effectively present information and respond to questions from members, customers, and the general public in a constructive and diplomatic manner required.
•  Ability to calculate mathematical figures and ability to apply concepts such as fractions, percentages, ratios, and proportions to analysis membership statistics.
•  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, spreadsheet, diagram, or schedule form.
•  Excellent computer skills, including word processing and data entry. Exceptional attention to detail. Excellent organizational skills with the ability to prioritize tasks.
 
Education and/or Experience:
•  B.S. or B.A. degree in related area.  Prior direct response marketing and database experience with Raiser's Edge preferred.
