The Phi Kappa Psi Foundation is a 501(c)(3) educational foundation whose mission is to support the Fraternity by promoting scholarship, developing character, improving educational facilities and supporting charitable causes.

The Bookkeeper is a full-time position responsible for maintaining the organization's financial transactions. The Bookkeeper will execute tasks crucial to the financial efficiency of the Foundation including verifying, allocating and posting details of financial transactions. The Bookkeeper will also assist with the development and analysis of the organization's financial dealings, coordinates human resource affairs and recommends and/or executes appropriate actions to ensure the integrity of such operations.

Position Duties
• Assists in maintaining the organization's system of accounts and records on all organization transactions and assets.
• Calculates, prepares and issues bills, invoices, account statements and other financial statements for the Foundation and its associated LLCs.
• Prepares, records and processes accounts payable.
• Generates/bills, reconciles, posts and follows up on all accounts receivable.
• Monitors status of loans and accounts to ensure timely payments.
• Assists in developing and producing accurate and timely routine and special reports of financial information.
• Oversees monthly staff credit card reconciliation processing; reviews all receipts and disbursements, ascertains correct account distribution and ensures all support documentation is accurate and in order.
• Completes monthly journal entries.
• Assists in the proper preparation for annual financial audit.
• Completes monthly bank reconciliations.
• Assists in preparation, communication and analysis of regular budget reports.
• Ensures correct channeling of funds and accurate transmission of donor activity between database and accounting software.
• Prepares and processes payroll and deduction schedule.
• Coordinates employee related benefits.
• Contributes to the evaluation, development and implementation of an effective, ethical and legal human resources strategy and program.
• Develops and implements a system of ordering office supplies that promotes cost savings and efficiency.
• Performs other duties as assigned.

Position Qualifications
• Excellent computer skills with expertise in Microsoft Office software suite.
• Strong data entry skills with a focus on data integrity is essential.
• Extremely detail oriented, precise, organized and able to work independently and manage/prioritize multiple projects simultaneously.
• Aptitude to identify and resolve problems in a timely manner; gathers and analyzes information skillfully.
• Demonstrates accuracy and thoroughness.
• Writes clearly and informatively; presents numerical data effectively; ability to read and interpret written information.
• Manages competing demands.
• Accurately provide and receive information in oral and written communications.
• Consistently provide ideas, opinions, or information in an articulate, professional way.
• Willingness and ability to adjust to changing conditions or priorities and commitment to take the initiative to identify and act on problems.
• Leads by example.
• Follows instructions, responds to management direction.
• Aptitude for the effective use of computerized accounting systems in support of a development/fundraising program; experience with Financial Edge and Concur a plus.
• Strong self-motivation and the ability to work as a team member.
• Experience with a non-profit organization is desirable.
