Manager maintains a sound working knowledge of the food bank's priorities and programs in order to prioritize grant proposals to private and public foundations that provide critical financial support.  With guidance from the Director of Grants and Foundation relations, the Manager gathers information to grasp the concept of a project, program or operation for which funding is sought as defined by the food bank staffer who is responsible for carrying it out.   The Manager researches grant-making organizations and analyzes them to identify likely funding sources for these projects, programs and operations.  The Manager prepares, writes, submits and executes critical follow up with grant-making representatives.  The Manager submits program reports when required by grant-making organizations and stewards relationships with key contacts at foundations.

Essential Functions:
• Research grant opportunities and develop grant proposals to fund programs and operations (restricted and unrestricted).
• With guidance from supervisor, gather information and list of funding priorities for each department as defined by staffer responsible for implementing project, program or operation.   
• Work with the management team to identify funding sources for special projects as needed (e.g. capital etc.).
• Present the food bank's budget for which funding is sought for programs and operations and convey compelling case to grant makers. 
• Thoughtfully organize, manage and update calendar to compile information needed from food bank staff and others, achieve accuracy and carefully adhere to deadlines – both internally and externally. 
• Compile and write grant proposals exhibiting strong expository writing skills.
• Execute reporting, compliance and financial spending in accordance with grant funding guidelines. 
• With direction from supervisor, execute an annual work plan and strategies for grants and related reporting that contribute to the acquisition and retention of public and private grant funders.
• With direction from supervisor, ensure priorities established and outreach achieved to targeted funders in each of their portfolios for food bank funding goals. 
• Collaborate with communications and marketing staff to develop and maintain support materials needed for grant proposals, reports and appropriate recognition. 
• Record donor and potential donor contacts in the donor management system in timely manner to reflect contact made/grant submission/grant report and other important outreach/contacts (e.g. CEO conversation).
• Steward key grant maker relationships with outreach to include notes, letters, phone calls, visits, contact with CEO, invitations to special events, etc. 
• Meet the goals set annually for amount of dollars raised, number of grants submitted and stewardship activities important to building relationships for food bank mission. 
 
Administration
o Manage expense budget within purview of supervisor. 
o Contribute to the development of the fundraising budget and goals.
o Maintain accountability to administrative systems and procedures, including submitting expense reimbursements, credit card reconciliations, invoices, etc. in a timely fashion or by deadlines assigned.
o Plan, track, and report on individual and departmental work in support of organizational coordination and synergy.
o Ensure appropriate staff informed of events and logistics/needs for the organizational calendar. 
o Keep outlook calendar updated to provide transparency on weekly activities and tasks, to promote productive time management and to aid in collaborative engagement with advancement staff. 
o Participate actively in staff meetings, retreats and Board meetings when requested.
o Contribute ideas and content for communications and marketing materials, especially as related to foundation support outlined in Director's area of purview. 
o Ensure quality communications and reports follow all gifts received to provide thanks and documentation to donors.
 
Other Functions:
• Serves as a key spokesperson for the food bank when needed.
• Appropriately participate in activities that benefit Gleaners Food Bank, as needed.
• Support food bank fundraising efforts as directed.
• Promote a cooperative spirit within the organization and among internal and external participants.
• Perform other duties as assigned. 
 
Skills/Qualifications:
The requirements listed below are representative of the education, experience, knowledge, skills, and/or abilities an individual needs in order to perform this job successfully.
 
Education and/or Experience:
• Bachelor's degree and/or equivalent experience in related field.
• Minimum five years professional experience.
• Understanding of donor and foundation relationship management is a plus.
• Professional writing experience is a plus.
 
Language Skills:
• Strong interpersonal, verbal, written and presentation communications skills.
• Ability to professionally communicate with all audiences (volunteers, donors, corporate contacts, staff members, etc.). 
• Ability to effectively present information and respond to questions from groups of volunteers, general public, media and staff; an attentive listener.
 
Mathematical/Reasoning Skills:
• Strong math skills with the ability to analyze data and prepare reports.
• Experience with coordination and preparation of project budgets.
• Continuous improvement methodology.
 
Technical/Computer Skills:
• Proficient at Microsoft Outlook, Word, Power Point, Access, and Excel.
• Knowledge of and familiarity with donor database systems/CRM and online advocacy tools.
• Ability to work a computer, copier, fax machine, telephone, calculator.
• Ability to operate a cell or smart phone for all hours access.
 
Certifications/Licenses/Registrations:
• Valid driver's license/Clean driving record /Must be insurable by company vehicle insurance provider.
