The Youth Programs Manager is responsible for managing Gleaners' Youth Programs.  This position is responsible for school and/or community partner enrollment and compliance with all Feeding America requirements, government regulations, and health codes. This position is also responsible for training and education, grant reporting and other reporting, and communications while exhibiting the highest standard of customer service. All responsibilities shall be consistent with Gleaners Food Bank's mission to lead the fight against hunger.
 
Position Essential Functions and Responsibilities:

Essential Functions:
 
• Manage Youth Programs – BackSacks, School-Based Pantries, & Summer Meals for Kids
   o Support Youth Programs Coordinator.
   o Manage all partners and aspects of the youth programs.
   o Manage the enrollment processes for sites each school year/summer and train new site coordinators in program procedures and regulations.
   o Ensure compliance with all applicable Feeding America and government regulations and health codes.
   o Work with Operations Team to ensure a nutritious, diverse, and child-friendly BackSacks menu.
   o Work with Operations Team to design and execute efficient logistical processes.
   o Communicate and integrate to all youth programs and their staffs, creating collaboration and quality service to member programs and the community.
   o Ensure coordinator training to promote effective and efficient delivery of services.
   o Develop and implement reporting guidelines.
   o Facilitate reporting for all applicable grants and internal data collection.
   o Supervise all activities to ensure that the goals and objectives of each program are met.
   o Coordinate efforts to ensure that programs have pertinent information regarding legislation and community actions that impact their funding and programming
   o Create and maintain a working relationship with other youth serving organizations to ensure shared knowledge of Gleaners Youth Programs.
 
• Manage Enrollment Process of New Youth Programs
   o Respond to inquiries in a timely manner from potential schools, community members, etc.
   o Facilitate new school and/or community partner enrollment.
   o Follow-up with new schools and/or community partners to complete agreement, facility inspections, and other documentation to ensure compliancy.
   o Maintain a system to ensure that all schools and/or community partners have been monitored within Feeding America's and/or Gleaners' required timeline.
   o Use monitoring visits to improve customer service, assist with developing pantry capacity, and enhance customer service.
 
• Manage the Monitoring of Current Schools and/Community Partners
   o Maintain a system to ensure that all schools and/or community partners have been monitored within Feeding America's and Gleaners' required timeline.
   o Conduct monitoring for new and/or enrolled sites to ensure program compliance.
   o Ensure compliance with all applicable Feeding America and government regulations and health codes.
   o Use monitoring visits to improve customer service, assist with developing pantry capacity, and enhance customer service.
 
• Manage School and /or Community Partner Communication, Training, and Education
   o Ensure timely distribution of school and/or community partner communications.
   o Review and refine handbooks, toolkits, orientations, online ordering, and other workshops/conferences as needed.
   o Review and refine school and/or community partner training material and educational opportunities for current partners.
   o Effectively present information and respond to questions from prospective, new, and current partners.
   o Serve as lead role in developing new training material and procedures for current partners to ensure compliance with any new Feeding America, Gleaners Food Bank, or government regulations.
 
• Ensure that Gleaners always exemplifies the highest standards of customer service.
   o Ensure professional and timely communications with partners and satisfactory resolution of any issues.
   o Ensure all customers (internal & external) are dealt with in a warm, courteous, and helpful manner.
 
• Personnel Management
   o Provide supervision, coaching, training, and evaluations to staff and/or interns.
   o Make recommendations for hew hires or disciplinary action related to staff positions.
   o Motivate staff and/or interns to be an effective part of the Gleaners team working together to achieve the organization's goals.
   o Promote and achieve a positive work environment.
 
• Administrative duties:
   o Serve as an active member of Gleaners' management team.
   o Prepare annual work plan and ensure direct reports prepare annual work plans.
   o Contribute to the development and management of the annual operating budget.
   o Provide reports to the Director of Food Programs, Chief Programs & Community Collaborations Officer and others, as required.
 
Other Functions:
• Complete all functions while demonstrating behaviors consistent with Gleaners' mission, vision and values and as a public representative of the organization.
• Work across departments in order to support a comprehensive and integrated approach to decreasing service gaps.
• Provide input for organizational communications, including story bank, newsletter, website content, etc.
• Participate in departmental planning, budgeting, long-range planning, and staff development.
• Provide information for fiscal year-end audit as needed.
• Provide information for Feeding America's Annual Network Activity Report, biennial audit, and other reports as needed.
• Perform all other duties as assigned.
 
Skills/Qualifications:
The requirements listed below are representative of the education, experience, knowledge, skills, and/or abilities an individual needs in order to perform this job successfully.
 
Education and/or Experience:
• Bachelor's Degree or equivalent experience.
• Food Safety and Handling Certified, or ability to be certified.
• Minimum of three years' work experience in a related field.
• Experience in customer service or quality assurance.
• Ability to maintain accurate customer files and complete required reports.
 
Language Skills:
• Excellent interpersonal, oral, written communication and presentation skills.
• Bilingual in Spanish is desired.
 
Mathematical/Reasoning Skills:
• Basic math and problem-solving skills.
• Ability to analyze large quantities of data.
• Strong analytical thinking and problem solving skills.
 
Technical/Computer Skills:
• Ability to work a computer, copier, fax machine, telephone, and other office equipment.
• Proficient in Microsoft Excel/Access/Word/Outlook/PowerPoint and Google Docs.
• Ability to work in databases.
 
Certifications/Licenses/Registrations:
• Valid driver's license/Clean driving record /Must be insurable by company vehicle insurance provider.
