The Advancement Manager/Associate works with the Director of Advancement and Events Manager to support marketing, fundraising, social media, graphic design and copywriting, events, and audience development.
Willingness to work some evenings and weekends. Advanced proficiency in Word and Excel; excellent writing and communication skills; good planning and organizational skills; high degree of initiative, confidence and energy to achieve and exceed goals; ability to multi-task, prioritize and work well under pressure; strong time-management, project-management and organizational skills; self-initiator yet also a team player.
Some media design experience; prior experience with individual gifts solicitation; prior experience with relational ticketing and/or donor database; background in the arts or with an arts organization.
• Prepare sponsorship agreements and maintain templates
• Draft collateral copy and design
• Keep Facebook and other social media sites current
• Manage and collect program book content, donor lists, and draft Advancement pages
• Assist with program advertising and distribution
• Video Trailers for shows
• Schedule reviewers to see and review our productions
• Maintain e-blast newsletter bi-weekly
• Track, manage, and work within marketing budget
• Monitor website for accuracy and currency
• Manage posters, banners, fliers, and show-specific promotional pieces
• Update staff email signatures
• Maintain lobby promotional monitors and update for each production
• Work with Development Associate to ensure accurate tracking of contributions and maintenance of donor files and donor database
• Grow prospect research, identification, cultivation, solicitation, and stewardship programs; interpret data analytics
• Produce and maintain various Development files in the shared Box drive, as needed
• Oversee department record-keeping, tracking, filing and expenditures
• Represent Phoenix to other arts organizations and/or at community events, as needed
• Develops prospect lists and reports as needed
• Acquire documentation for in-kind donations
• In conjunction with other staff, designers and the direct mail house, prepare letters, materials, lists, mailing labels and mail merges for mailings, invitations, etc.
• Assist with the implementation of donor benefits, cultivations, special events, and departmental activities
• Manage, research and write grants for foundation and government funds including:
• Identify and research potential grantors to match Phoenix needs with grantor interests
• Prepare grant proposals and applications in accordance with grantor requirements
• Track grant application and report deadlines
• Prepare and ensure timely submittal of required reports to grantors
• Work closely with Artistic and other staff to ensure appropriate recognition of grantors and compliance with grant requirements
