Charitable Allies is a 501(c)(3) charitable, public interest law firm. We serve the legal and administrative needs of our clients--charities and their constituents. We also work closely with partner agencies and affiliated organizations to deliver comprehensive services to all our constituents.
 
We are seeking an experienced, detail-oriented, Administrative Assistant (direct legal experience is NOT required) who wishes to continue their career in an environment of service to others. This full-time position will work from the organization's main office in downtown Indianapolis and comes with benefits. The compensation and benefits available are significantly above average for the sector.
 
A successful candidate should be flexible and able to work overtime on occasion based on client and workload demands, and there is some limited "flex schedule" availability. A successful candidate will be self-motivated with a hands-on, positive, "can-do" attitude with a desire to think creatively and independently to identify and implement proactive solutions.
 
Your duties will include but are not limited to:
• Manage traditional administrative needs of lawyers and nonprofits
• Manage daily workflow including scheduling appointments, reserving conference room, and maintaining calendars, and fielding client calls
• Function as office manager, acting as liaison between/among the organization and its vendors
• Manage reports, files and other business correspondence
• Manage client invoicing/billing as well as administer project management and other firm software platforms
• Coordinate with our bookkeeper as appropriate
• Coordinate board meetings, preparing board materials, reviewing reports to the Board, etc.
• Prepare/review basic legal and tax filings (appearances, motions for enlargement, charitable solicitation registrations, 1023-EZs, 990-EZs, etc.) for review, approval and filing
• Prepare/review corporate legal documents (articles of incorporation or organization, amendments, bylaws, operating agreements, etc.)
• Plan and coordinate logistics for travel, meetings, depositions and conference calls
• Proactively ensure legal team is prepared with necessary materials for meetings and depositions
• Review, assemble and file documents electronically through Electronic Case Files (CM/ECF) for a variety of district, state and appellate courts
• Prepare highly confidential documents and correspondence
• Demonstrate good judgment and professionalism, and exhibit flexibility and versatility to provide support
• Demonstrate strong reasoning and resolution skills
• Perform special projects as required to increase the professional effectiveness and efficiency of the legal team

Job Requirements
• Minimum of a high school diploma or equivalent is required and some related additional education is preferred
• Ideal candidates will have at least 3-5 years of nonprofit and/or legal assistant experience
• Exceptional attention to detail, excellent organizational and communication skills, and proficient word processing skills
• A self-starter who initiates and anticipates
• Ability to work well independently and in a team environment, make decisions, facilitate and manage deadlines
• Exceptional flexibility and strong prioritization skills and be adaptable to change
• Works well with numerous personality types and deftly manages competing demands on time
