Marian University is seeking an Administrative Assistant for Saint Joseph's College of Marian University – Indianapolis. The Administrative Assistant provides administrative and clerical support to the Executive Director, faculty, and staff of @saintjoeindy. The person hired for this job must be a seasoned professional, who is skilled in technology, detail-oriented, be forward-thinking and anticipate needs, and must adhere to the strictest confidentiality regarding data and information.

The Administrative Assistant reports to, and primarily provides support to, the Executive Director, however will provide support to other roles/functions, as deemed necessary and appropriate.

Responsibilities:
Represent Saint Joseph's College of Marian University to both internal and external audiences.
Create program materials, in coordination with Marketing/Communications, such as awards and
leaflets for events.
Coordinates event planning for @saintjoeindy – both academic- and student affairs-related.
Coordinates, in conjunction with Marketing/Communications, all aspects of office mailings,
including mass mailings.
Prepare and maintain contracts for adjunct faculty.
Calendar coordination and respective communication related to that process.
Generates correspondence to and from @saintjoeindy.
Maintain and coordinate an accurate budget reporting for @saintjoeindy.
Provide support for faculty across all disciplines.
Maintain/track/report data, in conjunction with Institutional Research, for the college as needed.
Answers telephones and takes messages.
Schedules appointments and committee meetings.
Manages work-study positions. 
Maintains office files, both digital and physical.
Maintains office and instructional supplies, including ordering, inventory, and supplying to end-
users.
Other duties as assigned and logically associated with the position.

Requirements:
High school diploma or general education degree (GED).
Five or more years of related experience (preferably in higher education) and/or training or equivalent combination of education and experience.
Ability to write, analyze and interpret financial reports, and legal documents and utilize this information in planning processes.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Must be able to incorporate these conclusions/findings into strategic and tactical plans.
Excellent communication skills (verbal, written, and behavioral).
Ability to connect with a multitude of audiences.
Project and event management experience.
Strong initiative and critical-thinking skills. As stated above, we need a forward-thinking individual in this role. Someone who can "connect the dots" and anticipate needs.
Excellent follow-through with all constituents.
Commitment to world-class customer service.
The ability to multi-task, problem solve, and meet deadlines.
Thrive in a fast-paced environment.
Mastery skills with technology preferred, specifically with Microsoft products including Word, Excel, PowerPoint.
