Full Time Position, 11 months School Year.

Fortune Academy, established 17 years ago, is a small, accredited independent day school in Indianapolis which serves approximately 100 bright students who have dyslexia, dysgraphia, and other language processing differences.  The Data Coordinator and Administrative Assistant provides the five Senior Leadership Team members with organized data and logistical support needed to operate the school.

Organizational Overview:
On the Loop in the historic Fort Benjamin Harrison area of Indianapolis near 56th Street and Post Road is a repurposed brick building – an inviting space where young people, grades 1 – 12 gather to learn in a nurturing environment.  Fortune Academy, is an accredited independent day school in Indianapolis which serves bright students who have dyslexia, dysgraphia, and other language processing differences.  Fortune students come from central Indiana for a 21st century education where specially trained teachers attune to each young person's unique learning pathway.  Fortune offers small classes of 6 to 10, the Orton Gillingham approach to learning, a full academic diploma program, and open participation in extra-curricular activities including sports, the arts, and social events.  Fortune is the only school in Indiana to provide a teacher certification program in the nationally recognized Orton Gillingham approach to language learning.  The Fortune Academy vision is two-fold:
1) to serve a growing number of students with learning differences, and
2) to train more teachers from across the central states to use the O-G approach to learning in their home schools.

Key responsibilities of the Data Coordinator and Administrative Assistant: 
Reports To: School's Business Director
Direct Report Titles: no supervisory responsibilities
Work Calendar: 11 months (mid July to mid June) w/all school vacations;
Hours: generally 8:30 to 4:30  

Qualifications:
• An Associate's Degree preferred; other skills certifications acceptable.
• 2 to 3 years hands on responsibility for data entry, organization, and retrieval.
• Experience providing assistance to two or more professionals or department leaders in a not-for-profit or a business setting.
• Experience as a staff member or volunteer in a school or library or similar service environment that serves children and families is a plus. 
• Experience working with a fundraising database a plus.

Major Functions in Data Support:
• Enters, compiles, and manipulates data in a wide variety of databases.
• Tracks student attendance and enrollment data and other ongoing school statistics.
• Maintains a filing and retrieval system for a variety of documents and records (hard copies and digital).
• Prepares a wide variety of reports and written materials: memos, letters, flyers, handbooks; discipline, truancy and suspension reports; fire drill reports, school tour packets, etc.
• Assists accounting with preserving and organizing purchase orders.  Major Functions – Administrative Assistant
 
Major Functions as Administrative Assistant
• Supports Business Director, Head of School, Upper and Lower School Division Heads, and Development Director with activities such as:
  o scheduling tours and appointments,
  o maintaining HR and credentialing records, student records, forms,
  o processing and tracking admissions procedures and forms,
  o maintaining and distributing Board minutes,
  o distributing school keycards, etc. 
• Attends some meetings to document and/or make updates to procedures, forms and charts.
• Handles logistics and RSVPs for meetings such as Board Meetings, parent conferences, ISP meetings, on and off site adult ed. programs, and other events as necessary. 
• Triages requests for information by phone, person, letter, and email.  Facilitates communication among parties by referring inquirers to the appropriate responder.

• Must be able to perform general physical demands associated with position including but not limited to: some lifting, carrying, pushing, pulling, kneeling, sitting, standing, and walking.

Language and Communication: 
• Strong oral communication skills with the public and telephone etiquette in fluent English.
• Strong written communication, including syntax, grammar and punctuation; email and letter etiquette.
• Willing to learn the professional vocabulary of education and learning differences.
• Proactive interpersonal skills with co-workers, including teachers.
• Openness to working with others who may process information and differently.

Computer Skills – the ability to 
• Use intermediate level in word processing with Microsoft Word, Excel, Power Point, and computer graphics packages. 
• Use databases and create custom sorts and reports.
• Use e-tools to initiate the flow of information to and from groups of individuals and to schedule group events
• Read technical manuals to solve basic problems

Reasoning – the ability to
• Prioritize workload in order to meet deadlines and to seek help when needed. 
• Identify barriers to success; then move forward on problem-solving.
• Assess which issues should be handled directly vs. which should be referred to an appropriate decision-maker. 
• Do basic math to monitor data entry accuracy and for day to day needs, including fractions and per cents.

Licenses:  Valid driver's licensq
• Some short external errands may be required.  Use your car for local travel with mileage reimbursement.

Work Environment:
• 95% in school in an office that is behind the scenes (not reception).
