Fortune Academy, established 17 years ago, is an accredited independent day school in Indianapolis which serves bright students who have dyslexia, dysgraphia, and other language processing differences.  The Events and Volunteer Coordinator reports to the Director of Development and works with school leaders to design and coordinate events that raise funds and that engage parents and students in the social and extra-curricular life of the school.

Organizational Overview:
On the Loop in the historic Fort Benjamin Harrison area of Indianapolis near 56th Street and Post Road is a repurposed brick building – an inviting space where young people, grades 1 – 12 gather to learn in a nurturing environment.  Fortune Academy is an accredited independent day school in Indianapolis which serves approximately 100 bright students who have dyslexia, dysgraphia, and other language processing differences.  Fortune students come from central Indiana for a 21st century education where specially trained teachers attune to each young person's unique learning pathway.  Fortune offers small classes of 6 to 10, the Orton Gillingham approach to learning, a full academic diploma program, and open participation in extra-curricular activities including sports, the arts, and social events.  Fortune is the only school in Indiana to provide a teacher certification program in the nationally recognized Orton Gillingham approach to language learning.  The Fortune Academy vision is two-fold:
1) to serve a growing number of students with learning differences, and
2) to train more teachers from across the central states to use the O-G approach to learning in their home schools.

Key Responsibilities of the Volunteer and Events Coordinator
Reports to: Director of Development, liaisons with the Head of School
Direct Reports Supervised: none, but works as a part of the support team
Work Calendar: 11 months (mid july to mid June)
Hours: generally 8 to 430

The Events and Volunteer Coordinator fulfills four major roles: 1)fundraising event coordination, 2)volunteer program support,  3)in-school communications, and 4)data collection and organization. 

1. Fundraising Event Coordination:
a. Coordinates Annual Fundraiser: The Celebration Gala with Live and Silent Auction
b. Coordinates Annual Giving Campaign:  Call to Give through direct mail, social media, phone-a-thon, Giving Tuesday, etc.
c. Coordinates smaller fundraisers such as Athletic fundraisers by sport; retail sales fundraisers like AmazonSmile, Kroger Rewards, Box Tops, restaurant nights, spirit wear sales, etc.
d. Cultivates local business relationships to establish event sponsorships and community partners.

2. Volunteer Program Support:
a. Oversees Parent Ambassadors, leads monthly Parent Ambassador meetings, provides meeting minutes to all parents and staff
b. Coordinates parent mentor program
c. Coordinates volunteer sign-ups through Sign-Up-Genius,
d. Supports book club and other parent run clubs
e. Provides team coordination for In-School Events: Including but not limited to Friday Family Meetings, Back to School Nights; recognition events and celebrations such as Volunteer Appreciation Breakfast, Graduation, Education Nights, etc.

3.  In- School Communications:
a. Gathers input for, drafts and edits copy for print and online communications, press releases/media alerts, and general school marketing materials
b. Updates and maintains Media Lists of online and print publications, TV, radio, schools, organizations, and partners
c. Coordinates with Fortune support staff and vendors regarding content, timelines, and production needs for school communications pieces.
d. Acts as Fortune Academy Spokesperson at smaller fundraisers and school programs.
e. Produces Bi-weekly E-Newsletters: Communicate to parents, constituents, and area schools regarding upcoming events, important news, classroom happenings, and more through MailChimp and or Bloomerang

4. Data Collection and Organization
a. Completes Data Entry for Sponsors, Partners, and Media outlets
b. Assists with maintenance of donor data bases
c. Find and organize data for grant proposals and reporting

• 3 years in event planning or volunteer coordination role with the last 3 years in a non-clerical role
• Bachelor's Degree in Business, Non-Profit Management, Communications or the Humanities
• Portfolio of 3 or more major events coordinated and/or major volunteer programs run
• Recruiting, training and managing volunteers
• Coordinating logistics w/offsite facilities managers, catering, and audio-visual support
• Developing an event budget
• Working with inside and outside professionals in advertising, and media relations

• Strong oral and written communication skills
• Willing to learn the professional vocabulary of education and learning differences
• Engaging public speaking skills with children and parent-volunteer audiences

Computer:  Intermediate skills in word processing, excel, power point, and computer graphics
• Ability to use databases and to format data tables for research
• Ability to use project management software

Reasoning:  Ability to identify barriers to success; then move forward on problem-solving
• Ability to draft project plans with concurrent activities and to devise "work arounds"
Math:  Ability to do the math to formulate and monitor budgets for fundraisers and other events
Licenses: Valid driver's license, use of car with reimbursed mileage

Other :  Able to attend events and meetings on weekends and evenings as needed several times a month (Comp time is available within a two week period on the day of or following the event)

Interactions :
Internal: faculty meetings, parent meetings, volunteers, program presenters
 External: merchants who donate to the auction, program sponsors, event venders

Work Environment: 70% in school/office, 30% in the field w/volunteers, venders, and retail donors
