Guest Experience, Volunteerism, and Community Engagement Associates will consistently uphold a high level of efficiency in operations and ensure guest and volunteer standards are met.
 
The ideal Manager of Volunteerism is an individual with outstanding knowledge and keen intuition of volunteer operations at Newfields. This position serves as the coordinator for all volunteer activity at Newfields. The Manager of Volunteerism maintains reporting systems, supports all logistics for volunteerism, actively recruits, vets, and leads orientation as well as additional training opportunities on campus. This position works directly with the Manager of Guest Experience and the Assistant Director of Guest Experience, Volunteerism, and Community Engagement to ensure proper work plans to support all Newfields' initiatives are properly and effectively staffed. They will set the standards for and monitor volunteer performance and development.

Primary Responsibilities:
The following responsib ilities describe the general nature of work for employees in this position, but this is not intended as an exclusive or all - inclusive inventory.
 
▪ Lead by example; Newfields Guest Experience standards and implementation of the Newfields Guest Experience Model.
▪ Be an informational resource for answering questions on memberships, programs, exhibitions, events, policies, gardens, and buildings at Newfields.  
▪ Supervising daily campus operations in partnership with the Manager of Guest Experience including all guest, volunteer, and staff engagement.
▪ In depth knowledge of Newfields Access Initiatives including staff and volunteer training on how the institution provides discount and free admission to guests who meet certain criteria throughout the year.
▪ Capturing and resolving customer feedback elevated by all front line staff.
▪ Hiring, training, and daily management of volunteers and staff.
▪ Daily break coverage for volunteers and staff.
▪ Consultation on guest experience design, staffing, and planning processes.
 
PROFESSIONAL RESPONSIBILITIES
▪ Actively work within the Indianapolis and surrounding community to recruit new volunteers through outreach opportunities, create partnerships with community groups and area service organizations, and attend local volunteer fairs and other volunteer recruitment opportunities. 
▪ Develop new and innovative tasks for volunteers seeking more sophisticated volunteer opportunities at Newfields.   
▪ Plan well in advance for large events such as Family Days, MLK Day, as well as Newfields Seasonal Initiatives (Spring Blooms, Summer, Harvest, and Winterlights). Recruit, train, and schedule all volunteers to perform specific tasks for these types of events in coordination and partnership with all departments. Attend the events and work with other departments to adjust the volunteer plan according to needs and feedback from guests, volunteers, and staff. 
▪ Continue to develop, improve, and implement an onboarding process for all Newfields volunteers, appropriate to the jobs they are asked to perform. This will include an annual Volunteer Recruitment Fair in February, monthly onboarding sessions, as well as Seasonal onboarding sessions to support Spring Blooms, Summer, Harvest, and Winterlights.
▪ Work with Assistant Director of Guest Experience, Volunteerism, and Community Engagement to plan and execute the volunteer recognition program striving to increase attendance at each event year after year. This will include the Annual Volunteer Reception and Awards in February, ongoing appreciation activities, Volunteer Appreciation Month, the End of Fiscal Year Celebration, as well as one Board and / or Director Reception annually recognizing top volunteers at Newfields.
 
Budgetary Responsibilities
▪ Work with the Assistant Director of Guest Experience, Volunteerism, and Community Engagement to define appropriate budget items and maintain expense annually within the established budget.
▪ Oversee accounting and reporting functions for Volunteerism.
 
Partnership Opportunities
▪ Maintain communication with all departments and groups within Newfields (staff, affiliates, docents, etc.) to identify volunteer opportunities and then diligently work to provide volunteers with corresponding abilities; thereby, supporting designated initiatives throughout the institution with necessary resources.
▪ Continue to cultivate diverse partnerships and collaborations within the community thereby increasing the diversity of the Newfields volunteer base.
▪ Work with various Newfields departments to develop a system for increased volunteer utilization in appropriate areas, ongoing training specific to the assigned tasks and continued assessment of volunteer success.
▪ Work closely with the Assistant Director of Guest Experience, Volunteerism, and Community Engagement to maintain a unified approach to all aspects of Volunteerism at Newfields.
 
Supervisory Responsibilities
▪ Responsibilities include interviewing, hiring, and training volunteers; planning, assigning, and directing work; appraising performance; rewarding and disciplining volunteer staff; addressing complaints and resolving problems.
▪ Work to realize the full potential of Newfields volunteers while creating meaningful art and nature experiences for the diverse communities Newfields serves. 
▪ Expand the regular, ongoing opportunities for volunteers to experience Newfields offerings (i.e. audience engagement, docent and curator led tours).
▪ Monitor volunteer performance and assign or reassign volunteers according to skills and performance.
▪ Create a culture of customer service within the volunteer staff. 
▪ Provide motivation and incentives in order to increase volunteer attendance and participation in training sessions.
▪ Maintain and analyze volunteer contributions to Newfields and make decisions about the value of individual and group volunteerism to the institution.
 
Basic work week: 37.5 hours per week, schedule fluctuates based upon the needs of the institution, some weekends and holidays required
 
Required Skills:
▪ Knowledge of volunteerism functions, including interviewing and recruiting skills, training, and motivational skills, knowledge of market and guest research, computer skills, knowledge of community organizations and ability to interact with them as well as with volunteer, city, state, and national groups, and organizational skills. 
▪ Ability to work with spreadsheets and Newfields data collection and reporting systems.  Proficiency in Excel and excellent organizational skills a must. 
▪ Volgistics experience a plus.
▪ Ability to read and interpret documents and procedure manuals.  
▪ Ability to write routine reports and correspondence.  
▪ Ability to speak effectively before groups of customers or employees.
▪ Ability to calculate mathematical figures and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
▪ Ability to read a limited number of two and three syllable words and to recognize similarities and differences between words and between series of numbers.  Clear spoken communication skills.
▪ Ability to apply common sense understanding to carry instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
 
Education and/or Experience:
▪ Bachelor's degree and five to seven years related experience and/or training; or equivalent combination of education and experience.  Recruiting experience and/or HR experience a plus.
