Cathedral High School in Indianapolis, an independent Catholic college preparatory high school in the Holy Cross Tradition, is seeking a Director of Events.
The Director of Events reports directly to the Sr. Director of Advancement and is a member of the advancement department at Cathedral High School. All proceeds from events contribute to the annual fundraising program at Cathedral High School. In addition, these functions promote loyalty and resourcefulness while bringing students, alumni, parents, faculty and friends together in enjoyable atmospheres that are financially important to the mission of the school.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Directly manages the production of all advancement related events (donor, alumni, special recognition, etc.), which includes the oversight of outside vendor relationships as determined by Cathedral's master database or approved/preferred vendors. Production includes concept design and execution, catering, decorating, sound, technology, lighting, janitorial support, security, and set-up/tear-down.
Based on their event expertise, negotiating power and vendor relationships, the Director of Events assists additional Cathedral related groups beyond the advancement department with miscellaneous event production preparation/coordination assistance if time allows -- examples include but are not limited to Prom, President's Luncheon, Mother's Club Christmas Luncheon, educator meetings, sports banquets, Enrollment Management events, etc.
Manages school inventory of event décor, rented items and consumable donations (e.g. beer, wine, water, liquor, etc.) as well as the relationships with said vendors/donors.
Oversees the e-marketing, social media, and website for all advancement events.
Initiates, manages and executes marketing material requests through Cathedral's marketing department as directed by the Sr. Director of Advancement. Materials include but are not limited to letters, invitations, programs, brochures and signage.
Oversees the Cathedral charity gaming license(s). Provides general assistance to clubs/organizations utilizing the Cathedral charity gaming license(s) to ensure they are marketing, reporting and complying with the laws set forth by the State of Indiana. Signs off on marketing materials and reporting relating to any function that utilizes Cathedral's gaming license(s). Serves as the sole point person with the State of Indiana Charity Gaming Office.
Assists the Sr. Director of Advancement in database administration, maintenance, budget and report generation for all events.
Assists the Sr. Director of Advancement with the solicitation, negotiation and fulfillment of sponsorships, advertising and vendor contracts on behalf of Cathedral.
Assists the Sr. Director of Advancement with the management of event committees and volunteer efforts.
Oversees the school's volunteer program; conducts needs analysis to determine volunteer needs, assembles plan to acquire the appropriate number of volunteers; recruits volunteers as needed. Plan appropriate volunteer recognition gifts and/or events.
Assists the advancement department as needed with miscellaneous tasks that arise (e.g. mass mailings, event production, representation at events, solicitation of donors as appropriate, etc.). SUPERVISORY RESPONSIBILITIES: Directly supervises volunteers, on average 250 per year. Carries out supervisory responsibilities in accordance with the organization's policies and procedures and applicable laws. Responsibilities include training volunteers; planning, assigning, and directing work; appraising their performance; making recommendations for those who should or should not return for future events as volunteers; addressing complaints and resolving problems. In addition, this position directly manages relationships with outside vendors and committees.

EDUCATION and/or EXPERIENCE: Bachelor's degree (B.A./B.S.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
