Responsible for creating, developing and managing all Zoo marketing special events. Provides overall supervision to the Marketing Event Specialist. Responsible for Zoo grounds signs and banners, printing of marketing collateral and support materials supporting Voice of Zoo initiatives in partnership with Creative Services and Public Relations. 
 
Duties and Responsibilities:  
 
Essential
 
1. Supports the Zoo's mission of empowering people and communities, both locally and globally, to advance animal conservation.
2. Adheres to and promotes the ideals of the Zoo's Wild U program by:
 o Welcoming and engaging guests at all points of interaction;
 o Inspiring guests to want to learn more, care more, and become involved in saving wildlife and wild places;
 o Leading the pack in how to identify and implement tangible, memorable guest service;
 o Deliver exemplary guest service in pursuit of the Zoo's mission.
3. Works with Director of Marketing & Public Relations in creating new marketing special events and improving existing events. Responsible for event budgets and assists in the development of an annual schedule of events.
4. Directly responsible for planning and implementation of event details for xZOOberance, Halloween ZooBoo and Christmas at the Zoo, including contracting, supervising and coordinating vendors involved in set-up and tear down of buildings and decor for each event. 
5. Coordinates all event activities requiring assistance from other Zoo departments involved in the setting up, operating and tear down of these events.  Remains on site for event setup, event activity and post event activity. 
6. Prepares all event and program recaps, including ROI, attendance, expense and revenue analysis after each event.
7. Supervises, trains and provides direction for Marketing Event Specialist.
8. Works closely with Corporate Sponsorship Manager in the development and implementation of sponsor promotions.
9. Works closely with all Zoo departments to successfully implement marketing special events.
10. Responsible for communicating xZOOberance, Halloween ZooBoo and Christmas at the ZOO event details to Zoo staff operating departments.
11. Create flyers, promotional and collateral materials, and website copy supporting entire marketing team and events.
12. Works with Manager of Volunteer Services regarding marketing special event volunteer activity, including scheduling, coordinating and training for specific volunteer tasks.
13. Represents the Zoo at off-site promotional appearances as directed by Director of Marketing & Public Relations.
14. Directly responsible for handling of Family Fun Package advertising program for Zoo.
15. Works closely with Public Relations department providing information for press releases and provide copy in Voice of Zoo for ads and signs.
16. Assists Public Relations department doing media and promotions blitzes as needed.
17. Partners with Creative Services to complete job orders for Marketing print, sign and banner projects on a timely basis
18. Meets weekly with Director of Marketing & Public Relations to discuss Marketing Event plans, Creative Services job orders and implementation of all projects.
19. Manages all Marketing Special Event and Print Budgets. 
20. Develops and maintains and up-to-date list of all vendors and event partners.
21. Works closely with Finance department to successfully process, produce and get approval sign-offs on vendor contracts.
22. Works closely with Human Resources to successfully get vendors/promotional partners to adhere to Child Protection policies.
23. Interacts and communicates with co-workers, supervisors, vendors and the public in a professional, courteous and cooperative manner.

25. Problem solving and judgment o Recognizes problems as they occur and contributes to their resolution.  Makes good decisions resulting from sound judgment as related to level of experience.  
26. Punctuality & Attendance o Maintains regular attendance.  No excessive or unexcused absences or tardies as per the Zoo's Attendance Policy.  
27. Flexibility with work schedule. Must be available to work weekends, holidays, and evenings as required. Working hours may vary depending on business needs. 
28. Must possess a valid Indiana driver's license and possess a driving record that is deemed insurable by Zoo's insurance carrier. 
29. Other duties as required.
 
Marginal
 
1. Works positively with volunteers, assisting and supporting their involvement in appropriate work assignments whenever appropriate.
2. Participates in other Marketing/Public Relations department activities including events, buyouts, special events and media tours as needed.
3. Attends and actively contributes to all departmental meetings and has individual weekly meetings with Marketing Events Specialist and Director of Marketing & Public Relations.
4. Performs additional duties and/or assumes other responsibilities as delegated by the Director of Marketing & Public Relations.
5. Demonstrates a continued interest in marketing and advancements in the marketing field.
6. Travels as needed for media/promotions blitzes and promotions.
7. May participate in donor events or sponsorship tours and promotions.
 
Experience/Knowledge/Skills:
 
• Ability to verbally converse and listen with comprehension.
• Ability to supervise full-time, part time and seasonal employees, and volunteers.
• Strong problem-solving and organizational skills. • Ability to multi-task, handle high pressure situations and meet deadlines.
• Computer and typing/keyboarding abilities required. Good working knowledge of Outlook, Excel, Word. 
• Ability to work independently.
• Ability to do financial analysis using Excel Spreadsheets to do event recaps and show ROI.
• Ability to assess situations and use good procedure/judgement and follow through.
• Good public speaking/presentation skills.
• Prefer a minimum of three (3) years of professional work experience in Special Event planning and implementation, project analysis, and budgeting.
 
Physical Demands: 
 
• Exposure to repetitive movement; finger dexterity.
• Works indoor and outdoor environmental conditions, with exposure to varying weather conditions including extreme heat and cold.
• Hearing – must be adequate to perform job duties, communicate over the telephone, and two-way radio.
• Vision – must be able to observe an area that can be seen up and down, or to right or left while eyes are fixed on a given point. 
  o NEAR ACUITY – Clarity of vision (with or without glasses/contact lenses) at 20 inches or less.
  o FAR ACUITY – Clarity of vision (with or without glasses/contact lenses) at 20 feet or more.
• Ability to stoop, kneel, crouch, crawl, stand, walk, push, pull and lift on a regular basis.
• Ability to walk/and or stand for extended periods of time.
• Ability to perform "medium" level physical work, which includes exerting up to 20 pounds of force on a regular basis to move objects.   
 
Education:
 
• A Bachelor's Degree in Marketing, Events, Tourism (or a related field of study) from an accredited institution is required.
 
 
Technical Proficiency: Must be an advanced user of Microsoft Word and Microsoft Outlook.  Must be an intermediate user of Excel.
