The Administrative Assistant, Programs provides administrative and programmatic support to the Director, Programs, Assistant Director, Programs and Grant Officer, as well as services as a primary point of contact for staff at Simon Youth Foundation's network of academies.

Organization Overview:
Simon Youth Foundation (SYF), a national 501(c)(3) nonprofit headquartered in Indianapolis, is committed to helping students graduate. SYF executes its mission through two major programs.

Each year, SYF awards more than $1 million in one-time and renewable Simon Youth Scholarshipsto high school students in every community that is home to a Simon Mall. SYF has awarded over $18 million in scholarships to more than 5,200 students since 1998.
 
In partnership with local public school districts, SYF builds high schools called  Simon Youth Academies, through which students at risk of dropping out receive the personalized support needed to earn their diplomas. Primarily located in Simon Malls, Simon Youth Academies make learning accessible to students who struggle to connect with material in a traditional classroom or school because of homelessness, bullying, serious illness, parenthood, supporting their families, or other challenging personal circumstances. Since its inception, SYF has maintained a 90 percent graduation rate at its 37 Simon Youth Academies in 15 states, helping more than 19,850 students graduate.

Position Duties:

Support of Director, Programs:
•        Manage and maintain Director, Programs calendar, schedule meetings, travel expenses and arrange conference calls.
•        Process expense reports, invoices, and check requests for appropriate approvals by Director, Programs and/or appropriate staff.
•        Typing, filing, sorting, copying, and distributing all correspondence as needed.
•        Coordinate Committee meetings – includes preparation of meeting materials, reserving meeting space, sending invitations, and recording minutes within a timely manner.
•        Coordinate all travel and account for all travel receipts upon trip completion.
•        Assist with coordinating of the SYF Annual Conference.
•        Track, monitor and process Senior Surveys. Prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheet, database or presentation software
•        Maintain school district and academy contact information.
•        Coordinate and maintain academy graduation information.
•        Maintain and reconcile miscellaneous invoices, as well as process check requests.
•        Support Director, Programs with budget formulation and revision as needed.
•        Ensure best value for airfares, hotel accommodations, and mode of transportation, staying within budget per SYF budget and policy.

Support of Assistant Director, Programs:
•        Work with Assistant Director, Programs to monitor public school partner responsibilities as directed by the Director, Programs, including the annual updates of applicable data, contact information, receipt of requested information from the partners and Academy staff, and organization of information in appropriate format.
•        Track Scholarship recipients and assist with completion of necessary reports as requested.
•        Provide support to Academy contacts and other external stakeholders as it relates to SYF programmatic efforts.

Position Qualifications:
•        High School Diploma, required.
•        Associate's Degree or trade school certification in office administration, preferred.
•        Minimum two to four years administrative support experience required, preferably with a nonprofit organization.
