This position is a supervisory role at the Clinic and is responsible for implementation and execution of many of the office management functions. The position is responsible for reception supervision, documentation of office procedures, and jointly responsible for IT support and vendor management under the direction of the Director of Operations. In support of the Director of Operations, this position will interact with staff, vendors and clients daily.

DUTIES AND RESPONSIBILITIES:

Supervision (10%)
• Updates reception standard operating procedures
• Supervises receptionist

Administration (50%)
• Creates and updates office standard operating procedures and trains staff as required
• Creates coverage plan or covers in the absence of the receptionist
• Orders all office supplies and arranges for necessary office maintenance with landlord
• Manages closed client files including current year storage, year-end changeover and destruction
• Onboard and offboard staff from a technology standpoint
• Maintains technology hardware and software inventories including assignment and location utilizing an asset ID system for major technology items

Technology (30%)
• Builds and executes a professional relationship with Clinic IT support vendor
• Responds to staff members' technology questions, referring to IT support when appropriate
• Participates in new IT processes and equipment selection and facilitates new installations
• Serves as the Clinic's administrator for Office 365, Litify, and Salesforce
• Manages 3CX phone system including all recordings

Additional Duties (10%)
• Specialized projects as assigned by the Director of Operations
• Weekly meetings with supervisor and other supervisory meetings

KNOWLEDGE, SKILLS, AND ABILITIES:
• Broad knowledge of office administration
• Ability to break a procedure down to document and teach effectively
• Strong ability to discern appropriate action for IT issues and trouble shooting
• High ability to prioritize effectively and respond to issues as their urgency requires
• Very high degree of confidentiality
• Ability to listen carefully and combine swift decision-making with calm discretion

CREDENTIALS AND EXPERIENCE:
• Bachelor's degree in business preferred, associates required
• One to two years of proven experience in IT support preferred
• One to two years of office administration is required
• Bilingual in Spanish (reading, writing and speaking) required
• Previous experience with Microsoft 365 required
• Previous experience with Salesforce preferred, but not required
• Experience working for a not-for-profit is preferred
