The Community Center Specialist will be responsible for ensuring a smooth operation of the front desk and lobby area by greeting and directing clients and visitors, answering phone calls, and ensuring a safe and clean working environment. They will carry out Outreach (food and clothing pantry) procedures and properly receive, sort, organize, store, and document all incoming in-kind donations. They will oversee and manage the Hospitality Room coordinating activities and planning events for veterans.
Principal Duties and Responsibilities:
• Greet and direct clients, guests, visitors, contractors, volunteers, and donors appropriately
• Answer telephone calls at the main HVAF front desk and refer inquiries to proper department or person
• Ensure a safe and clean working environment; including entire front desk, lobby, restrooms, waiting area, hallways and pantries
• Carry out Outreach procedures in a positive and respectful manner, ensuring client needs are met, and, to the extent possible, their expectations exceeded
• Assist with maintaining organization and cleanliness of food and clothing pantry
• Make copies, send faxes, and distribute mail as necessary
• Complete data entry for monthly Outreach Reports
• Oversee volunteers participating in Outreach
• Properly receive, sort, organize, store, and document all incoming in-kind donations, ensuring accurate weight of food donations is recorded
• Oversee and manage day-to-day operations for the Hospitality Room
• Coordinator activities, plan events, and establish programming for veteran engagement in the Hospitality Room.
• Engage with veterans to the Community Center and Hospitality Room to establish good rapport, trust, and respect
• Keep staff informed of current conditions and situations
• Maintain security by following protocol and procedures involving visitor entry (front door buzzer), visitor logbook, and security cameras
• Collaborate as-needed with other staff and departments to provide awareness of and assistance with events and projects
Skills/Experience Required:
• Demonstrate strong interpersonal skills
• Maintain a neat and professional appearance at all times
• Maintain a positive attitude and demeanor in all situations
• Willingness to be flexible and cooperative
• Ability to lift, move, and organize donations including food, clothing, and household items weighing 45 or more pounds
• Demonstrate excellent oral and written communication skills
• Demonstrate proficiency in Microsoft Outlook, Word, and Excel
• Evident dedication and commitment to the agency
Work Environment:
• Core work week of 40 hours would fall between Monday-Friday
• Will involve evenings and weekends for special events
