Reports to: Executive Director 

As part of the organization's Leadership Team, the Director of Operations oversees the daily operations, ensuring that the organization is well-coordinated and productive by managing its financials, human resources, and business operations. 

Position Objective:
The goal of the Director of Operations is to manage and continually assess the operational needs of the organization and find ways to contribute to the big picture by ensuring daily operations run as smoothly and efficiently as possible. 

Primary Responsibilities:
• Develop and manage processes and systems related to human resources
• Coordinate with outside payroll company to oversee payroll, including workers' compensation, staff benefits, taxes, insurance, and federal/state/local compliance
• Oversee and improve internal communications
• Review, update, and maintain job descriptions on an annual basis
• Promote positive and productive work culture
• Lead planning of staff retreats and events
• Assist with employee relations and conduct troubleshooting, training programs, and disciplinary action, as needed
• Oversee process to evaluate overall staff and program performance
• Business Management
• Closely liaise with third parties, including accountants, insurance brokers, and others
• Oversee information technology
• Oversee general management of the Kids' Voice offices
• Define, implement and revise operational policies and guidelines for the organization to ensure clear and consistent execution of operations
• Organizational Support
• Assist the Executive Director with reporting out to the Board of Directors
• Assist in the development of strategic plans
• Participate on the Leadership Team to ensure a culture of support, accountability, clear communication, and strategic use of resources as everyone within the organization works together to fulfill the strategic plan and the organization's mission

Qualifications

  • Bachelor's degree in business, finance, and/or non-profit management with major course work in accounting, finance or related field 
  • Proven experience (5+ years) in management of human resources, business management, and nonprofit financial management 
  • Proficient in Quickbooks 
  • Significant understanding of Microsoft Office applications, especially Excel 
  • Excellent complex problem-solving skills and analytical skills 
  • Exceptional organizational and project management skills with strong attention to detail 

• Ability to communicate effectively, clearly, and concisely both orally and in writing
• Solid track record of building rapport and maintaining professional relationships with vendors and colleagues 

• Sound judgment and discretion in handling and securing confidential information, as well as the ability to conduct oneself in a highly professional manner
• Results driven, intellectually curious, action-oriented leadership style that thrives in a mission-focused environment
• Ability to use judgement and manage through ambiguity • Commitment to teamwork and collaboration
• Commitment to the core values of the organization
• IT knowledge and background a plus
