Theta Chi Fraternity is seeking applicants for the position of Office Manager. The Office Manager is responsible for ensuring the smooth operation of the office and administrative functions at Theta Chi Fraternity International Headquarters, as well as providing direct administrative support to the organization's Chief Executive Officer. This employee will also coordinate the day-to-day logistical operations of the headquarters.

Position Duties include, but are not limited to:

  • Supervise and evaluate full and part-time administrative support staff
  • Lead administrative team to support the management functions of the fraternity headquarters 
  • Maintain office efficiency by monitoring staff needs and identifying opportunities for process improvements 
  • Responsible for maintaining office equipment, phone system, facility systems and office supplies 
  • Work with IT consultant to ensure properly functioning computers, network services, printers, copier, fax machines etc. 
  • Responsible for development and implementation of efficient office systems and IT solutions
  • Responsible for maintenance of common spaces for appearance and functionality
  • Responsible for the maintenance of storage areas and archives
  • Responsible for the maintenance of general office files including server files
  • Onboard new employees
  • Respond to general office inquiries
  • Meet with essential office vendors 
  • Provide support to front desk and reception area
  • Managing correspondence, answering questions, and meeting requests
  • Conducting reading, research, and routing correspondence
  • Arranging organizational travel
  • Development of itineraries and agendas
  • Drafting letters and documents
  • Maintaining calendars
  • Taking meeting minutes

The Office Manager will also support other headquarters functions and be responsible for other duties as determined by the Chief Executive Officer or designee.

Minimum Qualifications – Three to five (3-5) years of administrative office experience is required. Candidates must be proficient in Microsoft Office, have experience working in a database or other electronic records management system, and be able to learn the organization's database. The ideal candidate will have the ability to prioritize tasks, have excellent time-management skills, efficiently problem solve, and ability to work in fast paced work environment. Candidate must be a self-motivated, self-confident professional with the ability to work both independently and as part of a team, as well as demonstrate an ability to lead a team towards achieving a common goal. The successful candidate will have a passion for assisting collegiate students, demonstrate excellent interpersonal skills, and the ability to work well with multiple stakeholders including students, alumni, volunteers, board of directors and colleagues. Candidates must possess strong written and verbal communication skills and a willingness to learn and be cross trained in varying departmental functions.

Occasional night and weekend work may be required.  Attendance at the Fraternity's biennial Convention (typically out of state) is required.

Preferred Qualifications – Managerial experience; Three to five (3-5) years in an Office Manager role; Membership in Theta Chi Fraternity or another fraternity/sorority.
