The 500 Festival, an Indianapolis-based non-profit corporation, produces nearly 50 annual events and programs reaching over 500,000 people and creating a $20 million positive financial impact on the city of Indianapolis. The mission of the 500 Festival is to produce life-enriching events and programs that celebrate the spirit and legacy of the Indianapolis 500 and foster a positive impact on the city of Indianapolis and state of Indiana.

Description: The 500 Festival seeks a Program & Event Manager whose initial focus will be to manage and execute events and activities related to the 500 Festival Education Program, 500 Festival KidsFit Program, 500 Festival Mini-Moves Program - all of which are distributed to schools and other youth-serving organizations and administered by teachers, coaches, and group leaders.  

Working within a collaborative environment, the Program and Event Manager will work with team members to ensure the highest level of planning, implementing and execution related to the events and programs. Collaboration with the marketing team will be particularly important to distribute communication to our audiences and recruit as needed as identified by the Program and Event Manager. This position will also work in lock-step with an education consultant to develop and maintain program content and curriculum directed strategy.

Responsibilities:

  • Provide day-to-day management of the event operations of the 500 Festival & Indianapolis 500 Education Program, presented by IU Health, including but not limited to:
    • Manage distribution of program curriculum and materials
    • Collaborate with education consultant to develop activations that are in line with the curriculum and materials
    • Practice consistent and proactive engagement with enrolled schools and teachers to ensure a positive program experience 
    • Manage program's Mobile Study Trips throughout the state of Indiana
      • Approximately 10 full day events during March
    • Manage program's Study Trips at the Indianapolis Motor Speedway
      • Approximately 12 full day events during April
  • Provide day-to-day management of the event operations of the 500 Festival Mini-Moves Program, including but not limited to:
    • Manage distribution of program materials
    • Collaborate with the education consultant to develop activations that are in line with the curriculum and materials
    • Practice consistent and pro-active engagement with enrolled schools and teachers to ensure a positive program experience
  • Provide day-to-day management of the event operations of the 500 Festival KidsFit Program, including but not limited to:
  • Manage distribution of program curriculum and materials
  • Collaborate with the education consultant to develop activations that are in line with the curriculum and materials
  • Practice consistent and pro-active engagement with enrolled schools and teachers to ensure a positive program experience
  • Manage approximately 500 onsite participants in the KidsFit Final 5K
  • Manage approximately 6 mobile activation runs throughout the state of Indiana
  • Provide day-to-day management of the event operations of the Salesforce & JPMorgan Chase 500 Festival Rookie Run including but not limited to:
    • Designing and implementing varying course distances for youth ages 3-10 
    • Onsite operational and logistical management of the event during Kids' Day
    • Provide day-to-day management of the course event operations of the 500 Festival mini-mini including but not limited to:
      • Designing and implementing varying course distances at the Indianapolis Motor Speedway for youth runners and walkers
      • Onsite operational and logistical management of the event course
      • Provide supervision and training of a program intern 
      • Onsite event set up, tear down and day of support for all 500 Festival programs & events, as needed
      • Management of ancillary 500 Festival events throughout the year as assigned to members of the operations team
      • Must be available to work a flexible schedule, including long nights, early mornings, weekends as needed particularly during the Month of May
      • Other duties as assigned
