What We're Looking For: We are looking for an associate to support in managing and providing administrative assistance to community leadership and equitable initiatives at The Indianapolis Foundation.


The community leadership and equitable initiatives associate is tasked with managing office operations and providing administrative assistance to the department.  This is a position of importance due to the incumbent's access to confidential information and plans related to the operation of the Foundation.  Incumbent must possess highly developed organization and project management skills as well as high standards of ethics and confidentiality. 

  • Manages, monitors, and maintains the calendar of the Vice President for Community Leadership & Equitable Initiatives, including internal/external meeting scheduling and coordinating meeting logistics including location, caterers, etc., and meeting materials.  
  • Manages daily office operations. This position coordinates incoming communications using sound judgment to prioritize, channel, and address issues/requests as appropriate. Takes appropriate action to assure that important and pertinent information is properly disseminated to staff, stakeholders, and/or the community. 
  • Coordinates and manages all special events for the department, for example but not limited to racial equity trainings for  community members.  Prepares invitations, meeting notices, agendas, materials related to special events and follow up material. 
  • Assists the department with processing check requests for payment of invoices, sponsorships, credit card receipts, expense reports and ordering of event tickets. 
  • Works with the Grants Coordinator to generate and coordinate timelines and schedules. Sends calendar invitations to  Community Leadership Officers to ensure dates are on their calendar.

  • Ability to handle multiple tasks simultaneously and meet designated deadlines.

  • Ability to work collaboratively as part of a team and independently with little supervision.
  • Proficiency with basic office equipment and extensive knowledge of MS Office products is required. Experience working on the Internet, ZOOM and with integrated database software is also preferred.  
  • Must be fully vaccinated as defined by CDC guidelines.
